This notice explains how we handle the information you give us when you complete a Hookline Content filming consent form. Hookline Content is the videography and content production branch of Hookline Syndicate Ltd.

We collect consent on behalf of the client we are filming for, such as the venue or business named on the consent form.
Why we collect it
When we film an event on behalf of a client, we ask parents and guardians whether they are happy for their child to appear in the footage. We use your answer to decide who can and cannot be filmed, and to keep a record that consent was given or refused.
What we collect
- Your name
- Your child's name (or children's names)
- Your answer (yes or no) and your confirmation that you have authority to give it
- The event, the date and time you submitted, the version of the wording you were shown, and a reference number
We do not collect your address, phone number, email address, your child's date of birth, or your IP address through this form.
Who sees it
Your response is stored securely by Hookline and is never shown publicly. We share the relevant consent list with the client we are filming for, so their staff can identify children without consent on the day, including by giving them a coloured wristband. We do not sell or share this information for marketing.
Responses are stored using Google (Google Sheets), notification emails are received through Microsoft (Outlook / Microsoft 365), and our website is hosted by Shopify. Some of these providers process data outside the UK, protected by approved safeguards.
How the footage is used
Footage is used by the client for the purpose described on the consent form. We do not use footage of identifiable children in Hookline's own portfolio or promotion unless a parent or guardian has specifically agreed to that use.
How long we keep it
We keep consent records for as long as the footage from the event is in use, and for 12 months afterwards, so we can show that consent was obtained or respected. After that, records are deleted.
Withdrawing consent
You can withdraw your consent at any time by emailing info@hooklinesyndicate.com. We will ask the client not to use footage featuring your child in future content and to remove existing posts where reasonably possible. Withdrawal does not affect any use before that point.
Your rights
You can ask to see, correct or delete the information we hold about you or your child. Contact us at info@hooklinesyndicate.com and we will respond within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
